PRACTICAL INFORMATION
Thank you for confirming your participation in the above-mentioned event which will be held virtually from 9-11 November, 2020.
The deliberations of the webinar will be interpreted in English, French. Kindly select the language of your choice from the Zoom menu once you log in.
It is important to note that the service is not without challenges for Organizers, Participants and Interpreters. We therefore, crave your indulgence in advance and urge that you kindly exercise patience in the event of any technical challenges.
Consequently, please find below some tips which we hope will enhance your participation in the said event.
DO:
- You would need to have a strong internet connection, i.e. Wifi or Fibre connected to your computer via Ethernet cable. Data connections should be avoided where possible, as the connectivity could be unreliable.
- Have a headset with an in-built microphone if possible to eliminate background noise.
- When you receive the link, click on it before the stipulated meeting time. You may be required to provide a password which is provided in the registration link.
- Make sure you are in a quiet area free from noise and distractions.
- Join the meeting without activating your video and microphone. Activate both when given the opportunity to address the meeting.
- Turn off all notifications and make sure your cell phone is on silent and always keep microphones muted unless you are given the floor.
- Do not work on other tasks (like checking emails) during the virtual meeting. This may distract you.
- Use your video when taking the floor. The interpreters need to see you speaking. This is an important part of the interpreting process and it is also a vital fall back in times where sound quality is poor, to be able to watch the person’s lips and read body language.
- On the Zoom interface select the language you are listening to and mute the original audio. Language selection is also necessary, to ensure that one is speaking on the correct channel.
- To ask questions or contribute to the debate, use the Chat function. To request for the floor use the “Raise Hand” function. To make an intervention, go straight to the point, be brief and speak slowly and clearly. Remember to disconnect by clicking on “Leave meeting” if you wish to leave the Session.
DO NOT:
1. Turn your head away from the mic when talking, unless you’re using a headset with an in-built mic.
2. Shuffle papers on the mic, if you’re using the computer’s mic.
3. Interrupt other people when they are speaking or attempt to speak over them.
